Saavedra CPA | Puerto Rico CPA & Tax Solutions

Terms & Conditions

Effective Date: October 4, 2026

At Saavedra CPA LLC, our goal is to provide strategic guidance through a professional and efficient working relationship. These terms set mutual expectations and protect the time, effort and confidentiality involved in each engagement.

Acceptance

You accept these Terms and our Privacy Policy when you schedule a call, make a payment, or access Connect. If you do not agree, please do not use our services. If an engagement letter for a specific service conflicts with these Terms, the engagement letter controls.

Communication & availability

We prioritize timely and organized communication.

  • Messages are sent by email. This includes notifications from Connect when a file is uploaded or when we or our staff write to you.
  • Files are exchanged through our portal, Connect.
  • Meetings (phone or video) are generally held by appointment.
  • We perform most onboarding and follow-up through Connect.
  • Communications are part of a confirmed, active client engagement.

An associate will reach out to you, or your chosen point of contact, regarding each engagement. You can expect:

  • monthly requests for tax and compliance matters;
  • annual tax requests;
  • multiple requests for registration; and
  • multiple monthly requests or follow-ups for consulting and advisory until defined objectives are met.

We initiate service-specific communication. Casual or fragmented updates may not be processed. We kindly ask that you respond completely to each request, and we will follow up on ongoing matters. To raise something new, send a message or schedule a call. Where needed, we limit communications to request lists, reviewed deliverables, finalized reports or opinions, strategic tax planning sessions, onboarding and billing.

SMS messaging terms

By opting in to SMS messaging from Saavedra CPA LLC through our website or forms, you agree to receive text messages such as account notifications, document requests and service updates. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out. See our Privacy Policy and SMS Terms pages for more details.

Document security & confidentiality

We treat all client information as confidential.

  • Documents are processed through secure, encrypted systems.
  • Clients are responsible for uploading documents through Connect.
  • We do not accept sensitive information through unsecured channels, including unencrypted email attachments or text messages.
  • Please do not send medical or patient records.

Appointment scheduling, payment & cancellation

To keep service focused and minimize conflicts:

  • Initial consultations require payment in advance to reserve your appointment.
  • You may reschedule once with at least 48 hours’ notice.
  • Cancelling or missing the scheduled time forfeits the payment.
  • Payments are non-refundable, except when we cancel and cannot offer a suitable new time within seven (7) business days of the original appointment. If we offer a suitable alternative and you decline, do not respond or are unavailable, the payment remains non-refundable.

Consultation types & fees to begin

Introduction Call ($45). A 15 to 20 minute conversation to learn about your needs, decide whether we are a good fit, and create your client profile and Connect access. It does not include a review of documents or records.

Diagnostic and Onboarding Session ($200 for most individuals; $500 for first-time businesses and complex individual matters). A review of your documents and information to assess your situation, plan next steps, and propose a scope and fee for the engagement. It may include a planning discussion.

After either step, work that falls outside the selected service is quoted and billed separately, and a formal engagement letter is issued. Without an engagement letter, our standard hourly rates apply.

Onboarding payments. Onboarding fees, retainers and deposits (together, “Onboarding Payments”) are payments to begin work or to reserve our time. They are non-refundable once paid. They cover onboarding, preparation and planning, and they are separate from fees for ongoing work unless we state otherwise in writing.

Starting work: priority start and scheduled start

  • Priority start. When your Onboarding Payment is received and the information we ask for is provided, we begin promptly and bill at our standard rates.
  • Scheduled start. Without an Onboarding Payment, we schedule your work when capacity allows. Engagements that take extended time, with repeated questions or incomplete information, are billed at the extended-engagement rates stated in your engagement letter.

Client responsibilities

Shared accountability keeps work fast and accurate. You agree to:

  • respond completely to each request within the time we ask;
  • provide complete and accurate documents and information;
  • keep bank, accounting and other connections and authorizations active and current;
  • review and approve entries, timesheets and deliverables when requested; and
  • tell us promptly about changes in your business, ownership, address or contacts.

Additional time and fees

Delays in communication, incomplete documentation, repeated or duplicate requests, inconsistent information that requires rework, changes in scope, and unexpected complexity can affect timing, scope and price. Additional time is billed at the rates in your engagement letter. For accounting and advisory engagements billed monthly, projects or issues that take substantially more time than expected are billed in addition to the monthly fee. We will let you know before additional fees accrue wherever practical.

Inactive engagements

If we do not receive a response or follow-up within 30 days of our last documented outreach, the engagement may be considered inactive or abandoned. In that case we may bill for time incurred on incomplete services and for reactivation. Onboarding Payments are non-refundable.

Technology and integrations

Our services may rely on third-party platforms and connections, such as accounting, banking, payroll and document tools. Integrations not included in your plan are billed separately. You are responsible for keeping connections active and for fees charged by those providers unless we agree otherwise in writing. Providers can change or interrupt their services, and we are not responsible for outages or changes outside our control.

Billing policy

Our billing models vary by engagement (hourly, project-based or monthly), but the following applies to all:

  • All professional time spent on your matter, including meetings, preparation and correspondence, is billable unless we say otherwise in writing.
  • Work that has begun but not been formally completed may still be billed if it reflects meaningful time and analysis.
  • We can summarize time or effort to date on request. Billing is based on actual services provided, not only on deliverables filed.
  • We may request a deposit for any engagement.

Website information

Information on our website is general and is not tax, accounting or legal advice. A professional relationship begins only when we confirm an engagement.

Governing law and disputes

These Terms are governed by the laws of Puerto Rico.

Changes to these terms

We may update these Terms from time to time. Updated Terms will be posted with a new effective date, and we will notify active clients of material changes. Continued use of our services after notice means you accept the changes.

Acknowledgment & agreement

By scheduling, paying or accessing Connect, you confirm that you:

  • have reviewed and agree to these Terms;
  • understand the scope and limits of the consultation;
  • agree to the selected fee and understand that additional services will be discussed and billed separately; and
  • have reviewed and accept our Privacy Policy.

We appreciate the opportunity to assist you. Our goal is your success through clarity, professionalism and well-defined processes. Please be ready to engage when you schedule. We are committed to helping when you are.
